JOB DESCRIPTION FOR ASSISTANT ADMINISTRATOR

Position: Assistant Administrator. Full-Time.

Place of Work: Upendo Children Kilifi, Kilifi Town.

Introduction and Purpose

Upendo is a dynamic, growing Community Based Organization (CBO) which currently provides over 60 orphaned children with food, education, healthcare, vocational skills and psychosocial support in Kilifi Town, Kenya. The Project is managed by the Project Director under the supervision of an active Board of Management and with the support of an Assistant Administrator, a Social Worker and several support staff. We are seeking an innovative, active, and effective self-driven person to join our amazing team.

Key Roles and Responsibilities

The Assistant Administrator will support the Project Director by undertaking the following duties:

  1. Coordinating and managing project programs and office correspondence as directed by the Project Director.
  2. Ensuring that monthly, quarterly and annual reports of income and expenditure, budgets, and other financial reports are prepared and presented to donors.
  3. Keeping proper records of the organization.
  4. Preparing payment documents for approval by the Project Director.
  5. Maintaining of both manual and electronic books of accounts including data entry into Excel and Quick Books to facilitate production of monthly finance reports.
  6. Conducting home and school visits as directed by the Project Director.
  7. Communication with donors.
    • Prepare regular reports for sponsors on each child’s school and general progress.
    • Prepare annual reports (newsletters, end of year mail etc) to sponsors and supporters.
  8. Databases and file management.
Requirements and Qualifications

The Assistant Administrator will play a critical role in realizing Upendo’s overall goals. Essential skills include the following:

  1. A Bachelors Degree in Social Sciences, Commerce, Business Administration or any other relevant field from a recognized University.
  2. At least 3 years working experience in a reputable institution.
  3. Basic accounting skills.
  4. Good understanding of accounting principles, with the ability to confidently interpret financial data and use it to manage day to day activities and inform decision making in the short, medium and long term.
  5. Proficiency in QuickBooks accounting system will be an added advantage.
  6. Strong IT skills.
  7. A passion for Universal Child Rights.
  8. Leadership qualities.
  9. A well-developed sense of responsibility and ability to work independently.
  10. High degree of flexibility.
  11. Excellent interpersonal skills and ability to work well in a team.
  12. Excellent written and verbal communication skills.
